Email Replacement Project FAQs

1. Will I get to keep the folders in my Notes email?
Yes. Plans are for the folders in your HCL Notes to migrate to your Outlook mail account.
2. Is it acceptable for staff to delete emails? How soon should I begin performing a mass delete of my Notes emails?
It is always advisable that staff regularly review the contents of their Inbox and calendar to shed unnecessary documents. By doing so you reduce space in your mail file, which also eases the search capabilities of mail. You do not need to rush into performing a mass deletion of emails.
3. Should I start saving my Notes mail messages to my network folder?
If there are very important emails you feel you need to keep in perpetuity, those messages can be saved as a PDF and stored either on an external flash drive or to your network folder. However, it is not necessary to save all HCL Notes mail to the network. Additionally, there currently is a committee discussing the growth of the network drives and how best to throttle data storage.
4. Should I start forwarding all my Notes mail messages to my personal email account?
It is not recommended that staff forward Notes judicial mail to personal email accounts. Please see Missouri Judiciary Electronic Information Security Policy 400.01 regarding judicial email to be sent and received only through the judiciary user's assigned email address.
5. Will I get to keep my Sametime chats and emoticons?
No. Sametime will not be our instant messaging platform. No chats or emoticons from Sametime will be migrated to our future instant messaging application.
6. How will I know when my email has been migrated?
You will be contacted at various times throughout the project to keep you apprised of the process and to give you ample time to review your mail, delete unnecessary documents and prepare.
